To configure the menu options in Easy Attendant, follow these steps:
1. Determine the actions you want callers to be able to take when listening to an announcement. These actions can include transferring the call to an extension, playing an announcement, transferring to voicemail, or allowing callers to dial by extension or name.
2. Access the Easy Attendant settings in your Northland Communications system. This can typically be done through the system programming form or by contacting Northland's System Administrator.
3. Define the menu choices by assigning actions to each option. For example, you can set option 1 to play your business hours announcement, option 2 to transfer the call to an extension, and so on. Make sure to include appropriate instructions in your menu announcement to guide callers on how to use the menu options.
4. If you choose to enable the dial by extension or dial by name options, you need to define the set of extensions that callers can be transferred to. This step should be done after configuring the menu and applying the changes.
5. Once the System Administrator has completed the programming, you will need to record the actual announcements that callers will hear. Choose someone from your organization to record these announcements.
6. Make sure to have your Easy Attendant and other announcements documented for ease of recording and future reference.
